While browsing your vinyl collection or searching for rare gems in record stores, you may come across a series of mysterious characters etched into the inner grooves of your records. These characters, known as vinyl matrix numbers, provide valuable information about the history, authenticity, and uniqueness of each record. Two seemingly identical records can have significantly different values based on this information. Learning to decipher matrix numbers can help you understand the true value of your records. For insurance claims professionals, this knowledge ensures the real value of these collections are understood and that clients receive fair compensation for their damaged property.

           Understanding Vinyl Matrix Numbers

Vinyl matrix numbers, often referred to as matrix or runout numbers, are inscriptions found in the dead wax area of a vinyl record’s label. They serve several important purposes:

            Identification

: Matrix numbers help distinguish individual pressings of a record. Even if a record shares the same catalog number, the matrix number can differentiate between various editions, pressings, or reissues.

            Tracking

: During the vinyl manufacturing process, matrix numbers assist in tracking and quality control. They help ensure that the correct stamper is used and that records meet the desired specifications.

            Copyright and Ownership

: Vinyl matrix numbers sometimes include copyright information and ownership details, such as the name of the pressing plant or mastering engineer.

           Deciphering Vinyl Matrix Numbers

To decode vinyl matrix numbers, you need to understand the basic format and elements typically found in these inscriptions. Here’s a breakdown:

            Catalog Number

: The first part of the matrix number often corresponds to the record’s catalog number or label code, helping identify the specific release.

            Side Designation

: Some matrix numbers include a letter (e.g., A or B) to indicate which side of the record it refers to. A “1” typically designates side A, and “2” designates side B.

            Mastering Engineer’s Initials

: Occasionally, you may find the initials of the mastering engineer or technician involved in the record’s production.

            Pressing Plant Code

: This crucial element identifies the pressing plant where the record was manufactured. Different plants may produce records with slight variations in sound quality and quality control standards.

            Sequential Identifiers

: These numbers differentiate individual copies within a pressing run, often appearing as a combination of digits and/or letters.

            Copyright and Ownership Information

: In some cases, the matrix number may include copyright symbols, ownership names, or additional information related to the record label or mastering process.

           Example of Vinyl Matrix Numbers

Let’s break down a hypothetical vinyl matrix number to illustrate how to interpret it:

           Matrix Number: ABC-12345-A-1A

            “

            ABC-12345”

: This part could be the catalog number or label code, helping identify the specific release.

            “A”

: The letter “A” indicates side A of the record.

            “1”

: This could be the sequential identifier within a pressing run.

            “A”

: This may represent the pressing plant or mastering engineer.

           Tips for Insurance Claims Handling

Your insurance carrier and their representatives likely have never heard of record album matrix or runout numbers, and less you are serious collector, you may never have heard of them either. Understanding and documenting this information to properly value a record collection is a time-consuming process that most claims professionals will overlook, but that can add significant value to a collection. To ensure accurate valuation of records and fair settlement of claims, you can follow these steps:

            Document:

Record the matrix/runout numbers and basic record information.

            Assessment:

Examine the record itself to determine the pre-loss condition of the record. Common types of vinyl record damage include surface scratches, warping, cracks and breaks, ring wear, groove wear, and surface scuffs. Documenting the condition as best you are able is an important step to understanding the records value and supporting that value for claims purposes.

            Reporting:

Create a detailed spreadsheet or report with photos with the record albums identifying information including matrix numbers.

            Valuation:

Some record stores will be knowledgeable enough to use that data to source accurate values and potential replacements for your damaged record collection.

Recently, I attended a presentation by Chip Merlin, a highly accomplished and well-respected plaintiff’s insurance litigation attorney and public speaker. In his presentation, Chip focused on the public adjusting profession, asking: What does it mean to run a professional and ethically driven adjusting business? And he posed a pointed question: Do you have a job, or do you have a career?

This powerful question made me reflect on the many adjusters we work with across the country. Our company, ARCHER Inventory, specializes in professional contents assessment and valuation. Adjusters hire us to prepare detailed and accurate personal property assessment and damage claims. Surprisingly, no two adjusters or firms we work with follow the same process. How can adjusters perform similar work in comparable environments under like circumstances without standardization? In some ways, I found the answer in Chip's question: Do you have a job, or a career?

           Adjuster A vs. Adjuster B

Consider a single-family house fire with personal property damage. We'll use Adjuster A and Adjuster B to demonstrate different processes frequently seen in the industry.

           Adjuster A

doesn’t see much value in contents claims and often provides direction to property owners on how to prepare their own lists for submission to the carrier. They rarely hire third parties for personal property claims preparation and may perform tasks such as taking a few photos or reviewing the insured’s inventories to provide recommendations. This model places burden on the property owner and limits the valuable service provided by the adjuster.

           Adjuster B

understands that accurately documenting, assessing, and valuing personal property claims is labor-intensive and often less profitable than building or structure claims. Recognizing that policyholders are often overwhelmed after a fire,

            Adjuster B

prefers to outsource personal property claims preparation to ARCHER Inventory. This eliminates much of the claims preparation work for both the adjuster and their client, providing peace of mind and ensuring claims are fully documented, paid fairly, and resolved quickly.

           Job or Career?

           Adjuster A

might earn more money on individual projects by not getting too involved in the contents claim preparation. For example, they may handle a $60,000 content claim by directing the property owner to provide lists and valuations of their damaged property, submitting the claim with minimal effort from the adjuster. This can yield a commission without requiring much work.

           Adjuster B

, on the other hand, hires ARCHER Inventory to inspect the property to assess the property and prepare damage claim. Paying for ARCHER’s services, they ensure every item is documented, photographed, and valued accurately. This detailed and professional approach adds an extra $15,000 in value to the claim, resulting in a $75,000 settlement. With reduced disputes and quicker payments, the property owner greatly appreciates the adjuster’s assistance and values their service.

may have made $6,000 on the project, while

           Adjuster B

may have made $4,000. However, which client/property owner is most satisfied? Which outcome is most desirable for the insured property owner? Which product was not only less work for the adjuster, but less work for the distressed family?

If an adjuster organizes and pays for professional resources to accurately prepare claims, they add real value and alleviate the burden on the property owner. This approach not only avoids disputes but also enhances client satisfaction, which can help lead to a more reputable and sustainable career as a claims adjuster.

Many adjusters may not see the forest for the trees, prioritizing short-term profits over long-term business development. But for career-minded individuals, providing positive outcomes for clients is essential for building a reputable company and a fulfilling career.

If you or your clients have any personal property claims preparation needs, no matter the size, consider contacting ARCHER Inventory today. By outsourcing your contents claims preparation to ARCHER, you will elevate your quality of service, improve claims outcomes, and achieve higher client satisfaction with more accurate claims settlements.

Value can be measured in different ways. Profit is the most obvious, but there is also the value of time, credibility, efficiency,or professionalism–those immeasurables that drive business growth. When consulting with clients, it’s always interesting to learn how we can best help them. You must understand what is most important to them to measure the value you are able to provide.

can provide value in a lot of ways. Most personal property/contents valuation companies that have the trained capacity to handle large loss scenarios, from single-family house fires to wide-scale flooding disasters, are often beholden to working only for the insurance companies. This leaves small and large public adjustment firms under-resourced, forcing them to develop processes and workarounds to help clients. For these public adjusters, establishing a relationship with a reputable company for personal property claim preparation can be the best way to improve service and generate revenues without increasing workload.

to handle personal claim preparation, and no size loss is wrong. The following are few of the most useful times to hire a company for this work:

            Large-Scale Claims

: When handling claims involving a large number of items, especially in cases of severe or total loss structure fires, natural disasters or large-scale accidents, it's often more efficient for adjusters to engage a contents company to expedite the inventory process.

            Time Constraints

: In situations where time is of the essence, such as when there are tight deadlines for claims processing, employing a contents company can help speed up the assessment and documentation process.

            Specialized Items

: If the claim involves specialized or high-value items such as antiques, artwork, or rare collectibles, it’s advisable to hire a contents company with expertise in handling and documenting that property and who will be experienced in working with restoration experts to prepare detailed reports.

            Complex Claims

: For claims involving intricate or complex personal property, such as estates with diverse assets or businesses with specialized equipment, a contents company's expertise can ensure thorough and accurate reporting.

            Legal or Insurance Requirements:

In some cases, legal or insurance regulations may necessitate the involvement of a professional contents company for accurate documentation and valuation of personal property.

            Efficiency and Accuracy

: Preparing an comprehensive and accurate contents valuation requires a level of detail and research to that property that most public adjuster firms lack the bandwidth to handle with efficiency. Outsourcing this task to a contents company can ensure a smoother claims process and minimize errors.

A good personal property inventory gives you an advantage

A good personal property inventory gives you an advantage

The decision to hire a third-party inventory service like Archer Inventory instead of completing personal property inventories in-house can depend on various factors, and it's important to carefully evaluate the specific needs and circumstances of the adjuster and the organization. Here are some reasons why companies, independent adjusters, and public adjusters might find it smarter to hire a specialized inventory service:

           Expertise and Efficiency

Inventory specialists like Archer Inventory often have expertise in documenting and valuating personal property across various industries and types of losses.

Their experience can result in more efficient and accurate inventory assessments compared to in-house teams that may lack specialized knowledge.

           Time Savings

Third-party inventory services can save adjusters and their teams valuable time, allowing them to focus on other critical aspects of the claims process.

Inventory specialists are trained to work efficiently and can complete the task more quickly than internal teams that may need to juggle multiple responsibilities.

           Resource Allocation

Outsourcing the inventory process allows adjusters to allocate their internal resources more effectively, especially during peak periods or when facing a high volume of claims.

This can lead to better utilization of in-house staff for tasks that require their specific skills and expertise.

           Technology and Tools

Inventory services often have access to advanced technology and tools for cataloging and documenting personal property.

Utilizing specialized tools can result in more accurate and comprehensive inventories, potentially leading to better claim settlements.

           Scalability

During periods of increased workload, such as after a natural disaster, a third-party inventory service can scale its operations quickly to meet the demand.

This scalability may be challenging for in-house teams to achieve without significantly impacting their regular workflow.

           Objectivity and Independence

Third-party inventory services can provide a level of objectivity and independence in the assessment process, reducing potential conflicts of interest.

This objectivity can enhance the credibility of the inventory assessment in the eyes of policyholders and other stakeholders.

           Compliance and Documentation

Inventory specialists are often well-versed in industry regulations and compliance requirements, ensuring that the inventory process meets necessary standards.

Proper documentation is crucial for a smooth claims process, and inventory services can help ensure that all necessary information is captured and recorded accurately.

Ultimately, by relying on the help of a third-party inventory service, claims professionals can secure better outcomes, faster, and increase bandwidth. Archer's Basic Inventory is a service option for clients or claims that don’t require the attention to detail that our Full Service reports provide. These reports are put together using overview or bulk photos for any items with an estimated value under a certain price point, typically $500. We then extrapolate from overview photos to create the balance of the schedule. This inventory is more cost effective to produce and can be an excellent option for standard property valuation.

In the complex world of insurance where every detail matters, one of the most challenging aspects is entrusting others with the inspection and valuation of your client’s damaged contents. Insurance adjusters face the daunting task of obtaining accurate and reliable contents valuation reports to ensure fair settlements for policyholders. However, this process is often riddled with difficulties, leading to frustration and potential financial losses.

The Challenge of Contents Valuation: A Crucial Piece in the Puzzle

Contents valuation is a critical component of the property insurance claims process. Whether assessing the damage caused by a natural disaster, fire, or theft, insurance adjusters rely on precise contents valuation reports to determine the compensation owed to policyholders. The challenge lies in obtaining detailed and accurate assessments quickly that reflect the true value of the items in question.

Common Problems Faced by Insurance Adjusters:

Inaccuracy and Inconsistency: Traditional methods of contents valuation are often prone to error and inconsistencies. Manual assessments can result in overlooked items and inaccurately estimated values, ultimately resulting in disputes between insurers and policyholders.

Time-Consuming Processes: The traditional valuation process can be time consuming, causing delays in claims settlement. Adjusters may spend excessive hours documenting and valuing contents, diverting resources away from other critical aspects of claims management.

Dependency on External Experts: Insurance adjusters may rely on less then qualified vendors or overworked company personnel for personal property claims preparation, introducing an element of uncertainty and increased potential for conflict. This dependency can hinder efficiency, reliability, and profitability in the claims process.

Understanding the Real Value of Personal Property: Professional Contents Valuation

Physically documenting the thousands of items that can be damaged in a structure fire or similar event requires many hours, experience, and careful attention to detail to do efficiently. There are few professional resources available for reliable contents claim preparation and it’s a task that can be overwhelming for property owners.

Physically documenting the thousands of items that can be damaged in a structure fire or similar event requires many hours, experience, and careful attention to detail to do efficiently. There are few professional resources available for reliable contents claim preparation and it’s a task that can be overwhelming for property owners.

Unfortunately, that is not where the difficulty ends for most property loss victims or claims professionals when it comes to contents valuation.

Most personal property insurance claims disputes relate to disagreements over repairability or valuation. This occurs because of mostly underqualified service providers, who have limited ability to prepare accurate valuations the carriers then rely on, and homeowners often limited ability to correct or prepare these valuations. This leads to disputes and underpaid claims settlements. It’s a system that isn’t working well for anyone.

To help speed up the valuation process, companies like Xactware™, have created contents estimating software. These types of software use automated pricing databases to provide approximate values for property. For example, the user will enter a property description, “one large wooden chair (medium quality)”, for which the software will recommend a suggested retail or replacement cost value of let’s say $150. All of the property in the structure can be priced in this same manner.

But for the low wage-earning technician who is under pressure to move as quickly as possible to document these damaged items, more so than to be accurate and thorough in their assessment of the damaged property, the opportunity for failure is great. The difference between a pair of average sneakers and a pair of Air Jordan’s may not appear to be much to the unknowing eye, and the difference between a Gucci purse and knockoff may never be easy to tell, but through proper training and valuation techniques, these types of issues can be avoided.

For ARCHER inventory, accurately quantifying the value of damages in a large contents loss starts with a discussion about the property with its owner and an initial planning meeting onsite. Properly trained teams are then mobilized to the loss location to physically inspect, assess, and document the damaged property throughout the structure. Then ARCHER individually researches each item to identify where the comparable replacement property can be purchased and its actual replacement cost value. For specialized property, like antiques or fine arts, ARCHER has established relationships with experts who can be hired to provide recommendations to ensure valuations are accurate and fully supported.

Because ARCHER provides the actual replacement sources and costs for damaged property, settlements are accurate, disputes are more easily resolved, and for policyholders, ARCHER’s reports provide an easy path to recovering replacement cost holdback settlements. For fast, effective, accurate service for an industry that is starving for it, ARCHER inventory is

Imagine your home or business has a fire, it’s bad. Everything in it, in every room, from the ceiling to floor, wall to wall, is covered in hazardous soot from the fire. After a property damage like this and others, property owners will wrestle with many challenges. Not the least of these challenges is creating accurate and properly documented inventories of the personal property that has been damaged.

An average home can contain thousands of individual items, each with a unique value. Accounting for that property, researching its value, and creating the documentation needed to recover its’ fair value is an incredibly labor and time-consuming process.

There are some inventory service providers but unfortunately, many people and businesses that do this work lack the bandwidth, experience, or resources necessary to effectively prepare professional inventories. As a result, many millions of dollars in settlements go uncollected. We are a resource to address this industry-wide issue: ARCHER Inventory.

ARCHER provides comprehensive personal property inventory services using trained, company-certified technicians. Technicians learn about safety protocols, site evaluation, property assessment, restoration techniques, client communication, and operation procedures amongst other things. Each technician receives 80 hours of field training and passes an exam before certification is granted.

In practice, ARCHER provides trained labor to each project. Field teams, led by a project manager, assess, document, and catalog each piece of property onsite. Simultaneously, our back-office support staff researches the items as they are documented onsite to identify accurate replacement sources. And ARCHER has an experienced management team in place that provides consistent support and communication throughout the claims process. The result is a heightened level of professionalism, service, and outcome for contents inventory work.

ARCHER also charges for projects as a “labor pass-through”, meaning work is billed by the hour, based on the actual cost to perform that work plus a small company markup. This provides ARCHER customers assurance that they pay based on the amount of work they need done.

Businesses rely on ARCHER for their contents inventories in a variety of ways and reviews are outstanding. Most inventories are delivered within 48 hours of inspection. Because reports are based on the actual replacement property vs. estimated values, settlements are accurate and avoid unnecessary delays and disputes. ARCHER can provide holistic inventory services or just fill in gaps in the inventory process providing customers with greater ability to control costs for their projects.
